This Privacy Policy explains how Mentus handles your personal information.
1. Our commitment
Mentus (ABN [insert ABN]) ("Mentus", "we", "us") is committed to protecting your privacy and handling personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
This policy explains what personal information we collect, how we use and disclose it, and how you can access, correct or complain about how we handle it.
2. Information we collect
We may collect: contact and business details (such as your name, business name, email, phone number and suburb); information you provide via our website forms, chat assistant or during a call; records of calls and messages handled by our services, including recordings and transcripts; information from websites you ask us to scan; payment-related details (processed by our payment provider); and technical and usage information such as IP address, device and browsing activity.
Where we provide services on your behalf, we may also process information about your customers and leads that you or they provide.
3. How we collect it
We collect information directly from you when you contact us, sign up, use our website chat, or engage our Services; automatically through cookies and similar technologies; and from third parties and public sources where relevant to the Services you have asked us to perform.
4. Why we use it
We use personal information to: provide, operate and improve the Services; respond to enquiries and book calls; deliver marketing, advertising, outreach and automation you have engaged us for; process payments; maintain security and prevent misuse; and meet our legal obligations.
We may use your information to send you information about our Services. You can opt out of marketing at any time using the unsubscribe link or by contacting us.
5. Disclosure to third parties
We disclose personal information to service providers who help us deliver the Services, which may include hosting and database providers (e.g. Supabase/Vercel), voice and messaging providers (e.g. Vapi, Twilio), AI providers, advertising and analytics platforms (e.g. Google, Meta), and payment processors (e.g. Stripe). These providers are only permitted to use the information to provide their services to us.
We may also disclose information where required or authorised by law, or to protect our rights, safety or property.
6. Overseas disclosure
Some of our service providers store or process information outside Australia (for example, in the United States). Where we disclose information overseas, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.
7. Call recording
Where the AI receptionist or call services are used, calls may be recorded and transcribed to provide and improve the Services. Where required by law, callers will be notified that a call may be recorded. If you engage our call services for your business, you are responsible for ensuring appropriate notice and consent for your callers as required by applicable surveillance and privacy laws.
8. Cookies and analytics
Our website uses cookies and similar technologies to operate the site, remember preferences and understand usage. You can control cookies through your browser settings, though some features may not work properly if disabled.
9. Data security and retention
We take reasonable steps to protect personal information from misuse, loss and unauthorised access, including access controls and encryption in transit. No method of transmission or storage is completely secure.
We retain personal information only for as long as needed for the purposes described in this policy or as required by law, after which we take reasonable steps to delete or de-identify it.
